7. Go live checklist

Understand when your edition is ready and learn how to set it live.

This checklist will help you confirm whether your edition is fully prepared before opening registrations to the public.

Going live is an important milestone, so we recommend reviewing the points below before changing your edition status.

1. Check your participant emails

Make sure you have created the key emails your participants will receive.

Recommended emails:

  • Registration confirmation email (one or more if needed)

  • Payment receipt email

  • Team confirmation email (if using teams)

  • Group confirmation email (if using groups)

These emails are often the first contact participants receive after registering, so make sure they are clear and professional.

2. Check your forms and workflow

Make sure all required questions are included in your forms and correctly linked in your workflow.

Review the following:

  • All registration questions have been created

  • Required fields are marked as mandatory where needed

  • All forms are correctly connected in the workflow

  • Your waiver has been added, updated, and included in the workflow

If using team competitions:

  • Your team creation form has been created

  • It has been added to the workflow

3. Check your competition settings

Review each competition and confirm that settings are correct.

Recommended checks:

  • Dates and opening periods

  • Capacity limits (if applicable)

  • Prices

  • Future price increases (if using multiple prices)

  • Age restrictions (if applicable)

If using additional features, make sure they are configured correctly:

  • Registration transfer

  • Waiting list

  • Competition changes

  • Any other installed modules

4. Check groups and teams (if applicable)

If using groups:

  • Group settings are configured

  • Group types are created

  • Group emails are ready

If using teams:

  • Team competitions are configured

  • Team captain settings and field are configured (if applicable)

  • Team confirmation emails are ready

5. Check the participant dashboard

Make sure your participant dashboard includes the widgets and actions you want participants to access.

Examples:

  • Edit registration

  • Upload documents

  • Download receipt

  • Transfer registration

  • Cancel registration

  • View event information

6. Add confirmation messages (optional)

Custom confirmation messages are optional, but they improve the participant experience.

You may wish to add messages for:

  • Successful registration

  • Team creation

  • Group creation

  • Waiting list confirmation

7. Launch timelines and responsibilities

Your go-live timeline is entirely managed by your organisation.

It is your responsibility to:

  • Test your edition before opening registrations

  • Review your registration journeys

  • Check pricing, emails, and settings

  • Confirm everything works as expected

⚠️ We do not carry out testing of your edition on your behalf.

Our support response time (SLA) can vary between 1 and 3 business days, depending on the period and ticket volume.

We therefore recommend planning ahead and completing your testing well before your intended launch date.

8. Using additional modules?

If you have installed extra modules, remember that additional setup may be required.

You can find setup instructions in each module description within the Store.

9. Ready to go live?

If everything looks correct, your edition is ready to open!

To set your edition live:

Go to:

Setup → Edition status

Once you reach the Ready to open stage, click:

Open my edition

⚠️ Important note

When your edition is set live:

  • All test registrations will be deleted

  • Test teams and groups will also be removed

We recommend completing all testing before opening your edition.
