Prepare for race day

This checklist highlights the key elements to review in the days leading up to your event.

1. On-site app setup

• Make sure you have installed the On-site app module on your edition

• Verify that it is properly configured (see the module description for configuration steps)

• Ensure you have sent the QR code to your participants via email

If the QR code was only included in the confirmation email, we recommend sending a pre-race email with all relevant race day information, including the QR code. This helps ensure it appears at the top of participants’ inboxes for easy access.

2. Start wave allocation

You have two options for allocating start waves:

Option 1 — Automatic allocation (Start wave module)

• Use the Start wave module to automatically assign waves based on specific criteria

• You can optionally allow participants to choose their start wave manually via the registration form

Option 2 — Manual allocation

• Add a hidden field to one of your forms

• Import the start wave data into this field using an answer import

• This allows you to assign waves externally and upload them in bulk

3. Bib allocation

• Create your bib ranges in advance

• Allocate bibs ahead of race day to avoid delays onsite

• Bib allocation can be based on:

  • Start wave

  • Competition

  • Or other criteria depending on your setup

4. Exporting participant data

It can be useful to export participant data before race day, including key information such as:

• Emergency contact details

• Participant information

• Competition data

Having these exports available allows you to share information with the appropriate teams onsite if needed.

5. Closing registrations

If you want to block registrations before race day:

• Edit each competition

• Set the closing date and time

• Set the modification deadline if applicable

⚠️ Important:
If you are using campaign links that bypass closing dates and capacity limits, make sure to deactivate them if you no longer want registrations to remain open.
