How can I set up bib number exchanges in my edition?

We do not have a ‘bib exchange’ module as such in njuko, but you can use the following two options, which should meet your needs:

Option 1: the participant knows their replacement

Option 2: the participant does not know anyone who could replace them

Both options are compatible and can therefore be activated in parallel in the same edition.

Option 1: registration transfer

The transfer feature allows a participant to return to their personal dashboard to transfer their registration to a third party: they can invite someone they know by email to claim their place.

To do this, you’ll need to install the ‘registration transfer’ module, then activate registration transfers in the competition settings, define the transfer settings (including prices), and add the transfer widget to the participant’s dashboard.

The transfer can be:

• free (price = £0 in the transfer settings), in which case the person benefiting from the transfer does not have to pay anything when they register and the two people arrange this between themselves outside of njuko

• paid, in which case you set the amount to be paid by the new participant in the transfer settings

There is no automatic refund for the person who initially registered, unless you install and configure the ‘Automatic Refund’ module, which allows you to define the amount that is automatically refunded to the initial registrant (only if they paid by credit card online when registering).

Option 2: cancellation request and automatic invitation from the waiting list

This setup will allow a registered participant to request cancellation of their registration and receive a refund if their spot is resold to someone on the waiting list.

It requires the installation of two modules:

• ‘Participant dashboard widget - Cancellation tool for participants’ to allow the registered person to request cancellation and a refund.

• ‘Waiting list’ to be able to open waiting lists for competitions and set up automatic invitations.

If you have activated a waiting list with automatic invitations, the first person on the waiting list will be automatically invited as soon as a registration is cancelled.

You can view the list of people who have requested a cancellation, approve or reject the requests, and decide to refund all or part of the cancelled registration.

We plan to automate this refund process in the future, but it is not yet in place.

Alternatives outside of njuko

The last solution would be to contact a partner of ours that offers a more traditional race number exchange service: SWIKA or Bib2Life.
