How to add a new competition

Make sure everything is set up correctly from the start — dates, prices, limits and options all play a role in a smooth participant journey.

1. What are competitions

Your competitions are you different event distances or types. Your event could have several distances, as well as team and individual competitions. You can create as many competitions as you need.

2. How to add a new competition

When adding a new competition, it’s important to make sure everything is set up correctly from the start as this will result in a smooth participant journey and no errors down the line.

2.1 General settings tab setup

  1. In your edition, head to “Setup” > “Competitions” > click on “Add competition”.

  2. Name your competition (example: 10 KM race) and add a report name (the report name can be shorter, or more descriptive than the competition name).

  3. Define the dates and times: “start date” is the date of this competition ; “registration opening date” is the date registrations will open ; “modification date” is the date up until when participants can edit their entry ; “registration closing date” is the date your competition will close for registrations. These dates can all be changed at a later point if needed.

  4. Activate the correct toggles: “enable registrations” will open the competition to registrations ; “enable group registrations” will allow groups to have participants register in this competition ; “display register button” will display the individual registration button on the competition ticket ; “display register a team button” will display the team registration button on a ticket.

  5. You can allow duplicate registrations to be accepted with the next toggle.

  6. Define your competition type: individual or team competition.

  7. Set your competition’s capacity, if there is one.

  8. If you are creating a team competition, you’ll have extra settings to configure such as the team size definition, allowing incomplete teams to register, displaying the join team button, etc.

2.2 Advanced settings tab setup

If you have extra modules installed in your edition, you will see extra options in this tab. These are the modules available to install:

  • Registration transfer (allows you to create registration transfer rules for your participants)

  • Age restrictions per competition

  • Pre-registrations / Ballot applications

  • Competition distance (allows you to specify the race distance)

  • Hide competition in front office (the competition will only be available to the participants if they have the specific URL)

  • Waiting list (allows you to activate a waiting list once your competition capacity (or a limit date) is reached)

2.3 Prices tab setup

In the prices tab, add as many prices as you need.

  1. To add a new price, click on “Add a price” and define the amount.

  2. Choose for the price to be available to the public, or hidden and only useable by the organiser in the back office.

  3. Prices can also be restricted to selected groups if desired.

  4. Set a participant limit for this price, or an end date and time (this is optional).

  5. Save your new price.

3. Adding a competition at a later date: what needs checking

If you’re adding a competition after you have already set everything else up, it’s important to check the following:

  • If using a waiver module, check that your new competition is linked to a waiver.

  • In your form fields, go to the visibility tab of each field to define the new competition’s visibility.

  • If you have several confirmation emails, your may need a new one with a new rule.

  • If you have dashboards visible per competition, make sure you create one for this new competition.

  • Check your dashboard widget visibility settings, if you use these.
