FFtri: season change and licence validity

What you need to know to handle licence validity correctly on your edition when the season changes.

You are organising an event under the FFTRI (Fédération Française de Triathlon) that takes place in season N, with registrations opening well in advance, so in year N-1.

You can set the licence seasons that are accepted in the Configuration / FFTri menu, and therefore allow both N-1 and N, so that licence holders can register even if they have not yet renewed their licence for year N.

Licences that have not been renewed for year N are obviously not valid for taking part in the event, so in good time (before the event!) you must:

  • remove season N-1 from the accepted licences (Configuration / FFTri menu)

  • recalculate the licence status of your registrants, to identify those whose licence has not been renewed for the current season (Tools / FFTri menu)

The application recalculates the status of every licence and shows how many are not valid for the current season.

The icing on the cake: the registration status of the people concerned switches automatically to “incomplete”.

You can then send a reminder email to everyone whose registration is incomplete, inviting them to:

  • either renew their licence for the current season

  • or state that they are not a licence holder, and therefore declare and pay for the Licence Expérience (formerly the Pass compétition)
